944 Tech. Tip 5 - eMail Management - 12th March, 2001


Netiquette - to help those people who are busy and paying for their telephone line time, please will you observe a few simple "rules"....

1. if your subject is not Porsche related, technical question, answer, or comment PLEASE end the Subject with -OT for Off Topic. The - is important because those who want to can use the Outlook Rules (see below) to filter out the Off Topic emails. If we just use OT without the - it will filter out any word with the letters ot in them eg another, the, both, etc.

2. if you are writing or replying to an individual, go off list ie write direct to the individual, not to the whole List.

3. if you change the subject, please will you start a new thread ie change the subject heading. Hit the reply button but then change the subject. a. its annoying when the subject has nothing to do with the content and b. it leads to very long emails - Rob F

TOO MUCH eMAIL

if you use Microsoft Outlook for your email, this procedure will file your incoming 944 emails in a separate folder until you are ready to read them....

Outlook > Tools > Rules Wizard > Apply rules > New > Which type "check messages when they arrive" > Which conditions "specific words in subject" > click in box > Specific words "[Porsche944]" > OK > next > What do you want to do > move to specified folder > click in box > Specified folder (lower box) > select folder > OK > next > Specify name > choose your own > finish

if you don't like it, then:- Outlook > Tools > Rules Wizard > highlight the rule we just set up > delete > confirm

 

12.3.01 - Only one list please. I suspect that you won't be able to keep the 'Technical' list purely technical and a second list would be discriminatory to hairdressers. All lists go through waves of 'Off-Topic' banter and this is often an indicator of a successful and valuable list. Members can undertake various tricks to filter-out unwanted email. If you have an email prog that allows you to filter incoming mail to separate folders then use this. Then list mail won't clutter up you valuable personal inbox. You can go view your list folder when you have time. If you do not have filtering in your email prog then change to a program of webmail system that does. Get a second email address at your ISP that is for this list only. This is what I do. I can then decide when to download. Thus when on the road I only get mail from my personal email address. at home I pickup from all my email addresses. Many email progs (Outlook especially) support multiple email addresses or 'accounts'. You can set up as to whether you download from all accounts each time you check mail or from individual accounts. Finally, a common way to sort out the banter from the real stuff is to mark banter as 'Off Topic' The normal way to do this it to put "[OT]" at the front of the subject line. If you do not want to be bothered reading thru off-topic stuff then set you email filter to send messages containing [OT] straight into your email trash folder as they are downloaded. Let's stay with one list and try the Off-topic approach - John M

CLEARING YOUR eMAIL FOLDER

open the folder - ie list of all emails in the 944 folder
go to the EDIT drop down menu, SELECT ALL, should highlight all titles in blue
press DELETE

To clear a batch (not all), do an extended select (left click the first email you want to delete, then take your pointer to the bottom of the list you want to delete, and hold down and left click, then hit the delete key, after releasing . All the selected emails will disapear.
There is an option to clear out your deleted items automatically when you exit Outlook. (Tick the "Empty deleted items folder on exiting" tick box in Tools->Options->Other area of the Options requester box.) - Rob H
